Behind every meal is a network of restaurants, equipment, suppliers and support teams working together. For Cafe de Coral Group Limited, clearer visibility across these activities—from restaurant equipment maintenance to institutional catering orders and delivery follow-up—is an important part of improving operational efficiency.

Working with yonyou Hong Kong, the Group is digitising business workflows with YonBIP. Its restaurant repair and maintenance application is already in use, helping teams manage the maintenance of existing equipment through online collaboration. The Taste Joy sales team’s B2B order tracking system went live on 1 September 2026, while a newly launched IT procurement project will extend the approach to another business function.

Bringing Visibility to the Maintenance Process

Previously, equipment faults reported by restaurants passed through several teams before reaching suppliers. Quotations, approvals, completion confirmations and invoices involved paper forms, physical signatures and stamps. Repeated handoffs between restaurants, internal teams, suppliers and Finance added administrative work and made progress difficult to track. Establishing whether a quotation had been approved or a job completed often required another call or follow-up.

With yonyou Hong Kong’s repair and maintenance application, restaurants submit requests online, and the system routes them to the relevant suppliers. Following inspection, suppliers submit electronic quotations for online approval. Completion confirmation, invoice processing and the preparation of payment information are also handled digitally.

This creates a traceable record from request submission and work assignment through quotation, completion and settlement. Teams can access work orders, approvals and progress updates centrally, reducing repeated enquiries and the circulation of paper documents.

From Around Two Months to Around Ten Days

Project records show that the end-to-end repair and maintenance processing cycle fell from approximately two months to around ten days. Reducing paper-based approvals and manual handoffs helped streamline the workflow from fault reporting through subsequent payment processing.

During the initial rollout, 20+ suppliers were onboarded and trained, covering more than 95% of repair and maintenance transactions within the rollout scope. Suppliers can use the platform to handle work orders and submit quotations and invoices, while internal teams can access the associated records centrally, improving transparency and traceability.

Extending Digital Workflows to Orders and Procurement

Beyond restaurant maintenance, Cafe de Coral Group Limited is extending workflow digitalisation to its sales operations. Catering services for institutional customers, including schools and elderly care homes, require ongoing coordination of orders and deliveries. Manual records can make this work harder to follow and increase the effort needed to reconcile information.

The B2B order tracking system, which went live on 1 September 2026, brings order and delivery follow-up into a digital workflow. It gives the sales team a clearer record of activity and is intended to reduce manual tracking as the application becomes part of daily operations.

An IT procurement workflow project has also begun, with go-live planned for the end of December 2026, extending the use of YonBIP in internal process management.

Building a More Traceable Operating Foundation

From equipment maintenance to order tracking and the next phase of procurement digitalisation, Cafe de Coral Group Limited’s work with yonyou Hong Kong is grounded in specific operational needs. Each application transforms another process from fragmented records and manual handoffs into an accessible, traceable workflow. Approval records are retained, work completion is easier to verify, and there is less information to compile manually when processing documents and payment details.

In foodservice operations, progress is reflected in individual work orders, approvals and customer orders. With YonBIP, Cafe de Coral Group Limited is bringing greater visibility and consistency to these everyday activities, supporting closer coordination between restaurants and the teams behind them.
